Creating an estimate in Tank Track is easy. This video assumes you have already activated and set up Estimates in the SETTINGS section. Setup instructions have already been covered in a previous video.
To create a new Estimate, go to the Property page and click or tap, ADD ESTIMATE.
You will now see several fields already filled in. The creation date will simply display today’s date. The expiration date is determined by the time period you entered in SETTINGS during which you routinely guarantee prices. You can change the expiration date on any individual estimate as you see fit.
Use the Company Rep field to enter the name of the direct customer contact.
Use the Products and Services menu to select all of the products and services you are recommending, along with their prices.
The Required deposit field reflects the default prepayment percentage entered in SETTINGS, but it also can be adjusted on any individual estimate, if desired.
Add in the estimated job duration.
Type in your specific recommendations in the field provided. The Terms and Conditions text entered in SETTINGS is already in place. And you are done.
Email an Estimate
To Email the completed estimate to the customer, use the EMAIL ESTIMATE button, which should be in an active state if you have activated this feature in SETTINGS and you have a customer email address in the system.
Export an Estimate
To Export the estimate, click the MORE DETAILS button as shown. Then click the EXPORT/PRINT OPTIONS button and make your selections.
The printed or PDF version has a customer signature line, which the customer can sign and return upon acceptance.
Every time you create a new estimate, a new entry is made on the property page and the main ESTIMATES tab.
On the Property page, your new estimate now appears with a link to the estimate page to see all details.
Convert an Estimate to an Appointment
When an estimate is accepted and prepayment obtained, click the SCHEDULE link, as shown, to create an invoice from thee accepted estimate and add it to your schedule.
Invoices created from an estimate have a link to the estimate. Similarly, accepted estimates have a link to the resulting invoice, as shown.
View all Estimates on the ESTIMATES tab
On the main estimates tab, a new entry is now evident. Thee estimates tab displays all estimates from all of your properties. Here you can quickly review them all, as well as filter and sort them as you wish.
