Invoices and Monthly Statements

The invoices and monthly statements section allows you to customize the bills you send to customers.

Confirm the accuracy of your company name and billing address as imported from the Account Info page.

Confirm your phone number and email address, and add your website address to share with your customers.

Section 2

In the second section, you can customize these first two text fields that appear on printed invoices only.

Suggested uses for these fields include listing the payment methods you accept, payment instructions, and a promotional message.

The footer text for the monthly statement appears at the bottom of emailed and printed monthly statements.

This optional field should be used for a promotional message only. Your payment methods and instructions will already appear in the footer of the monthly statement. You can customize this info in your Email Options section.

Section 3

Section 3 gives you the option to activate and capture electronic signatures using a tablet in the field.

Tank Track offers two signature types. The first is an authorization signature that you may obtain prior to starting the work. The second is a confirmation signature that you may obtain after the job is complete. The corresponding text fields seen here allow you to customize the terms for each signature type.

Select the checkboxes to include the respective terms and signatures in outgoing emailed invoices and receipts.

Section 4

In section 4, simply check off the payment methods you accept.

Section 5

Section 5 gives you the option of adding additional info to your printed and emailed invoices.

You can add County and or township in which your customer’s property is located.

You may also add the gallons pumped and the waste site to the customer invoice, if you wish.

Click your preferred options, if any.

Section 6

Section 6 allows you to specify the starting invoice number, if you wish to continue with your current invoice numbering system. You can raise this number at any time, but you can never lower it.

Be sure to click Save Changes before leaving this page.

Additional Tips:

Some local governments require that septic companies list the number of gallons pumped and the Waste site on the invoice. If you want to include either one or both, click the appropriate checkboxes.

Each invoice and work order you create has a unique invoice number. This field is where you can choose the starting invoice number you want Tank Track to use. If you are already using an invoice numbering system, you may want to start in Tank Track with a number that is higher than the final invoice number in your old system.

Caution: You should only choose this number once. If you want to adjust it again later, you will only be able to do so with numbers higher than existing Tank Track invoice numbers.
