Settings: 12. Estimates

The Estimates settings let you send estimates to your customers.

Section 1: Activation

When you first access the Estimates settings, you'll need to activate them.

✅ Check the option to activate the ability to send Estimates to your customers.

Section 2: Set a Default Expiration Date

⌨️ Enter the default number of days after which your estimates expire.

ℹ️ You may override the default expiration date setting when creating individual estimates.

Section 3: Prepayment (Deposit) Policy

You may require customers to pay deposits when accepting estimates.

✅ Check the "We require prepayment of at least _____% to schedule the appointment" option to set a default deposit requirement.

⌨️ Enter the default percentage deposit requirement.

ℹ️ You may override the default deposit requirement setting when creating individual estimates.

Section 4: Signature Policy

You may require customers to sign estimates before scheduling the job.

ℹ️ Estimates may be signed:

  • remotely, through email;

  • onsite, using your technician's tablet; or

  • on paper.

✅ Check the "We require estimates to be signed before job is scheduled" option to require your customers to sign estimates before scheduling the job.

⌨️ Enter the Authorization Terms and Conditions, that is, the actual language your customers will sign when accepting estimates.

✅ Check the "Add electronic signature line for tablet users" to allow your customers to sign estimates onsite, using your technician's tablet.

✅ Check the "Add online signature link to emailed estimates" to allow your customers to sign estimates remotely, through email.

Section 5: Internal Notifications for Online Signatures

You may receive notifications when your customers sign estimates.

✅ Check the "Add notifications for tablet signatures" option if you want to receive notifications when your customers sign estimates onsite, using your technician's tablet.

✅ Check the "Send an email to:" option if you want to receive email notifications.

  • ✅ Select each user who should receive an email notification when a customer signs an estimate remotely, through email.

  • ℹ️ You may add an email address of a non-user who should also receive an email notification when a when a customer signs an estimate remotely, through email.

✅ Check the "Add dashboard notification for:" option if you want to receive dashboard notifications.

  • ✅ Select each user who should receive a dashboard notification when a customer signs an estimate remotely, through email.

  • ℹ️ You may access your dashboard when logging into Tank Track and also by clicking your business name at the top-left corner of the window.

ℹ️ You may select to receive both email and dashboard notifications.

For example, you may want different sets of terms and conditions for septic pumping, grease trap cleaning, and real estate inspections.

Section 6: Create Standard Recommendations

You may create different sets of standard recommendations to include in your estimates, depending on the nature of those estimates.

ℹ️ For example, you may create a set of standard recommendations for:

  • septic system installation estimates;

  • septic system maintenance agreement estimates; and

  • grease trap cleaning service estimates.

Clicking the +RECOMMENDATIONS button opens a window that contains 3 fields: the title field, the default option, and the recommendations field.

⌨️ Enter the title of your set of recommendations, for example, Septic System Installation.

✅ Check the option to use the set of recommendations as the default set.

⌨️ Enter your recommendations, for example, We also recommend hydroseeding, which is available starting at $0.15 per square foot.

🎯 Many Tank Track subscribers copy their recommendations from another document and then paste them into the Recommendations Field to avoid manual entry.
